Join This Prestigious Team in Mayfair, London Are you ready for a fantastic, exciting, and challenging opportunity? We are seeking a talented Executive Assistant to support an incredibly inspiring and extremely busy individual. This pivotal role involves working across all business and recreational endeavours, as well as supporting the Chairperson’s family when required. This crucial position requires an individual who will make a significant contribution to the effective planning and management of the Chairperson’s lifestyle, including overseas and national travel. Act as the first point of contact for the Chairperson and Personal Assistants. Arrange appointments, business diary, travel arrangements, and reservations. Accompany the Chairperson, her family, and guests on trips, ensuring exceptional service. Confidently use AI, Microsoft suite, Apple Mac software, and other system platforms. Open, sort, distribute, and file correspondence Coordinate lifestyle management duties, such as dinner reservations, bill settlements, and booking entertainment. Schedule and attend meetings, take minutes, and prepare records of proceedings. Meet and greet the Chairperson and guests during travel. Interface with hotel concierge, flight team, PA’s, EA, etc., to ensure smooth travel logistics. Organize and coordinate drivers and security detail. Communicate Chairperson and family preferences across all activity channels. Coordinate plans with relevant team members at destinations. Ensure hotel room setup and check-in according to Chairperson’s requirements. Supervise hotel housekeeping team for room setup and cleaning standards. Assist with logistics and travel itinerary planning. Produce correspondence, reports, presentations, and other documents using appropriate software. Manage general errands such as shopping and gifting. Build strong relationships with the Chairperson’s travel network. Manage packing and unpacking of luggage with the Wardrobe team. Coordinate wardrobe with the Wardrobe Stylist, maintain stock control. Assist Chairperson with sourcing specific clothing or accessories. Ensure all wardrobes and clothing items are in pristine condition. Coordinate hair and makeup setup with stylists. Ensure housekeeping and maids are aware of styling requests prior to events. Perform any other reasonable duties as requested. Professional Administrative Qualification. DBS Check. Previous professional experience providing a luxury service. Ability to sustain the demands of the role. Previous professional management experience with events. Strong administration and communication skills. Proficient in AI, Microsoft suite, and other technology platforms. Self-motivated and responsible. Flexibility to travel internationally at short notice. Availability on weekends.
